Visiting speakers are an important factor of a vibrant departmental seminar program. Thank you for your help! Hosts for visiting speakers should take care of the following items. These are roughly in chronological order.
- Well in advance of the visit, coordinate with the department's administrative assistant about housing and transport (eg, dates and mode of travel).
- Verify the title of the talk as soon as possible and send it to the seminar coordinator.
- Check to see if the speaker has any unique AV requirements, and communicate them to the seminar coordinator.
- In the week of the visit, advertise the speaker's talk in the form of flyers around the building and in SpiderBytes. These should include title, time and place of the presentation.
- Early in the week of the speaker's visit, set up a schedule of meetings with interested department members during the speaker's visit.
- Have the department's administrative assistant prepare the meal cards for the department lunch with the speaker, and if necessary for breakfast(s).
- Verify with the seminar coordinator that AV is ready to go for the speaker.
